Privacy policy

Last updated: 16 October 2026

Draft - to be reviewed by a lawyer before this site goes live.

This policy explains how VAgents Labs ("VAgents", "we", "us") handles personal data when you visit vagents.in, ask us for a demo, or use the VAgents platform. We follow India's Digital Personal Data Protection Act, 2023 and the rules made under it.

1. Two roles

  • This website and our own customers' contacts - we decide why and how this data is used (we are the "data fiduciary").
  • Data our customers put into the platform - the people their agents call or chat with, recordings and transcripts. We process it only on our customer's instructions, under our agreement with them. If an agent called you, the business that runs it is responsible for your data; please contact them first.

2. What we collect

  • Demo requests: name, work email, phone number, company, industry, what you need, languages and any message.
  • Customer accounts: names, email addresses and roles of the people who sign in to the console.
  • Platform data, for our customers: phone numbers, call recordings, transcripts, chat messages, and details customers choose to connect from their own systems.
  • Website visits: counted with Cloudflare Web Analytics, which uses no cookies and does not identify you.

3. Why we use it

  • To reply to your demo request and talk to you about VAgents.
  • To provide, secure and support the platform for our customers.
  • To bill customers for their usage.
  • To meet legal obligations.

We do not sell personal data, and we do not use our customers' call data to advertise.

4. Who we share it with

Service providers that help us run VAgents, under contracts that protect the data: cloud hosting, telephony, speech recognition and voice, AI language models, email delivery (Brevo) and website hosting (Cloudflare). We share data with authorities only when the law requires it.

5. Where it is stored and how it is protected

Our servers and database are in India, and platform data is stored there. To understand speech, generate replies and speak, parts of a conversation are processed by our speech and AI providers, some of whom process data outside India under their own security commitments. Data is encrypted in transit and at rest, access is limited by role, and the connection details customers give us are stored encrypted.

6. How long we keep it

Demo requests: up to one year, or until you ask us to delete them. Platform data - call recordings, transcripts and chat messages: up to one year, then deleted; sooner if our customer deletes it or their agreement ends.

7. Your rights

You can ask to see, correct or delete your personal data, withdraw consent, and nominate someone to act for you. Write to hello@vagents.in; we reply within 30 days.

8. Grievance officer

Mangal Verma, Grievance Officer, VAgents Labs, Rewa, Madhya Pradesh, India. Email:hello@vagents.in. If you are not satisfied with our answer, you may complain to the Data Protection Board of India.

9. Changes
